NICOLE’S DANCE SCHOOL - TERMS & CONDITIONS

By attending any of Nicole’s Dance School sessions, you agree to the following terms and conditions:

PHOTO CONSENT

Throughout our classes, we may occasionally take photographs and videos that may be used on our website, social media platforms, or in promotional materials.

If you do not wish for your child to be photographed or filmed, please email info@nicolesdanceschool.co.uk.

CLASS DATES AND HOLIDAYS

School classes and Saturday classes run term time only with breaks for half terms, Christmas, Summer, and Easter holidays.

CLASS FEES AND PAYMENT

  • Payment must be made in advance of attending classes.
  • Nicole’s Dance School reserves the right to charge a £10 administration fee for any late payments.
  • Failure to make payment on the 1st of the month may result in suspension of class. If your child attends class after the 7th of the month with payments outstanding, they will be removed from the register and asked to sit out of the class. The parent will be called to collect them. The outstanding balance will remain payable until cleared.
  • If your account is consistently in arrears, your child’s place in the class may be permanently withdrawn.
  • Payment methods and schedules are provided by Nicole’s Dance School. Payments are only accepted via our booking system through Class for Kids.
  • Discounts are automatically applied for multi-class bookings.
  • Nicole’s Dance School does not authorise any refunds or credits if your child is absent.
  • As Nicole’s Dance School uses external facilities to run our dance classes, there may be occasions where sessions are unable to run due to unforeseen circumstances such as school closures, severe weather, heating or electricity issues. In this case, Nicole’s Dance School will endeavour to run replacement sessions if classes are cancelled. However, if this is not possible, Nicole’s Dance School will not be obliged to issue a refund for the missed class/classes if the circumstances are beyond our control.

MEDICAL NOTES

  • Any child with an inhaler must hand this to the dance teacher at the beginning of the session with their name displayed clearly on it. The parent or child can then collect this at the end of the session.
  • It is the parent/guardian’s responsibility to provide written details of any medical information that may affect a child’s ability to participate.
  • We recommend parents/guardians remain nearby during sessions if their child has a medical condition that might require immediate attention.

SAFETY RULES

  • Parents/family members are not permitted in the dance class/studio to view the session. Throughout the year, we will provide opportunities for you to see your child’s progress.
  • Safety aspects in the dance studio will be considered by all staff, but it is the parent/guardian’s responsibility to ensure children are safe while outside the class.
  • Please ensure children are wearing appropriate clothing for dancing (e.g., t-shirt, leggings, trainers, etc.). Nicole’s Dance School provides merchandise; however, this is optional.
  • Nicole’s Dance School (Saturday classes) toilets are located outside the dance studio. If you do not wish for your child to go to the toilet independently, please remain visible outside the studio doors and make the teacher aware before class starts.
  • Please ensure children use the toilet before the start of their dance session to minimise disruptions.
  • Parents/Guardians must inform Nicole’s Dance School of any medical conditions that may affect participation.

TRIALS

Free trial sessions are offered for Saturday classes, and paid one-off sessions are available for school clubs. After the trial, you will receive an email with the option to sign up.

PAYMENTS & REFUNDS

  • Nicole’s Dance School does not authorise any refunds, make-up sessions, or additional classes if your child is absent.
  • Payments for monthly subscribed classes are due on the 1st of every month for the upcoming month. All payments must be received by this date to guarantee your space.
  • Payments are accepted via our parent portal (Class for Kids).
  • A charge of 4.5% + 20p is added to cover the use of our secure online booking system.
  • Nicole’s Dance School reserves the right to charge a £10 administration fee for any late payments that fall outside of pre-arranged payment plans.
  • Our class fees are reviewed annually.
  • Nicole’s Dance School has the right to remove your child from the class until payment is received in full.
  • Should you wish to cancel your subscription, Nicole’s Dance School requires 30 days’ notice in writing.
  • Membership fees are included within your monthly fees.
  • As Nicole’s Dance School uses external facilities, there may be occasions where dance sessions are unable to run due to unforeseen circumstances such as school closures, severe weather, heating, or electricity issues. In such cases, we will try to arrange replacement lessons. If this is not possible, Nicole’s Dance School is not obliged to issue a refund if the circumstances are beyond our control.

NON-ATTENDANCE OF WEEKLY CLASSES DUE TO INJURY

If your child is unable to participate in weekly classes due to injury, please:

  1. Notify us immediately.
  2. Provide written confirmation from a medical professional detailing the nature of the injury and expected recovery time.
  3. We will amend your fees to reflect the period of absence up to a maximum of 6 weeks.

HOLIDAY CAMPS, WORKSHOPS & PARTIES

  • Camps, workshops, and parties can be rescheduled with no penalty up to 48 hours before the scheduled time.
  • Once paid for, payments shall not be credited or refunded.

GOODS THAT WE SELL

We sell third-party goods online. We do not manufacture these goods and do not supply guarantees for them, but we do allow for exchanges if unworn and in a saleable condition.

We will not accept returns for faulty items where washing instructions have not been followed.

OUR RESPONSIBILITIES AND LIMITS OF LIABILITY

  • Dance Teachers: We aim for consistency with our dance teachers at all classes. However, due to unforeseen circumstances, it is not always possible to guarantee this. Teachers may occasionally change.
  • Personal Property: Nicole’s Dance School does not accept responsibility for personal belongings that are lost, damaged, or stolen on the premises. Personal items are brought at your own risk.
  • Equality: Nicole’s Dance School aims to offer quality classes to all and acknowledges that it is illegal to discriminate on any basis. Where possible, we try to accommodate special needs within our regular classes.
  • Anti-Bullying: Nicole’s Dance School strives to create a safe, caring, and supportive environment where bullying is not tolerated. If an issue arises, Nicole’s Dance School will take appropriate action to address and resolve the matter.

Nicole’s Dance School is committed to providing a safe and supportive environment for all members. If you have any safeguarding concerns, please contact our appointed Safeguarding Officer, Nicole Kimberley, at info@nicolesdanceschool.co.uk. All reports will be handled confidentially and with the appropriate care and urgency.

COMPLAINTS

If you have a complaint, please email us at info@nicolesdanceschool.co.uk or call 07854 789836.

We will confirm receipt of your complaint, forward it to the relevant department, conduct a full investigation, and respond within five working days.

All complaints are treated confidentially and with the utmost care. Your feedback helps us to continuously improve our services.

DATA PROTECTION

Nicole’s Dance School is registered with the Information Commissioner as a data controller and takes your privacy seriously. We only hold data necessary for providing our services.

How we use your personal information:

  • To supply our services to you.
  • If you have agreed during sign-up, to send you information about similar services we offer. You can opt out of this at any time by contacting us.
  • We will only give your personal information to third parties where the law requires or allows us to do so.
